The Role:
This is a varied and rewarding role, ideal for someone who thrives in a fast-paced, dynamic environment. You’ll work closely with members of the Executive Leadership Team (ELT) and the Company Secretary team, ensuring their schedules, priorities, and commitments are managed seamlessly.
You’ll play a key role in keeping the organisation running smoothly, anticipating needs, managing complex logistics, and enabling senior leaders to focus on what matters most. You’ll also collaborate with the wider PA team to provide cover and continuity across the Executive and Board functions when required.
What You'll Be Doing:
Diary & Meeting Management
- Manage complex diaries for the Executive Leadership Team (ELT) and Company Secretary, coordinating internal and external meetings, offsites, and events.
- Ensure leaders are fully briefed ahead of meetings, with all papers, actions, and follow-ups delivered on time.
- Record and distribute meeting minutes and action logs, following up on progress as required.
Board & Governance Support
- Coordinate logistics for Board, Committee meetings and events, including venue arrangements, catering, accommodation and travel.
- Maintain accurate records of Board actions and ensure timely completion of follow-ups.
- Support the preparation of agendas, papers, and reports for the Board and Executive Leadership Team.
Event & Travel Coordination
- Plan and coordinate Executive and Board events, offsites, and external visits.
- Arrange complex domestic and international travel, including visas, itineraries, accommodations, and transfers.
- Collaborate with internal teams (Events, Facilities, etc.) to ensure smooth delivery of all logistics.
Administrative & Project Support
- Prepare, proof, and format presentations, reports, and correspondence to a high standard.
- Manage confidential documents and sensitive information with discretion.
- Collate and process expenses for the Executive Leadership Team, ensuring compliance with policy.
Collaboration & Proactive Support
- Work closely with the wider PA team to provide cover and continuity across the Executive and Board functions.
- Act as a proactive partner to senior leaders — anticipating needs, prioritising tasks, and supporting seamless operations.
About You:
- Proven experience supporting senior executives in a fast-paced environment, with the ability to work across multiple teams and balance competing priorities effectively.
- Exceptional organisational skills with a keen eye for detail.
- Strong written and verbal communication skills.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and collaboration tools such as SharePoint.
- Experience designing and improving administrative workflows, with a strong focus on automation, AI tools, and business intelligence platforms such as Power BI to enhance efficiency.
- Adaptable, proactive, and calm under pressure, able to manage competing priorities with professionalism and discretion.

3rd stage: Practical assessment & Values Interview (90 mins, onsite in our Oxford office)
